The Department of Biological Sciences offers a diverse program of study that allows students to customize their academic path to prepare for numerous career opportunities in research, industry, and government, as well as advanced training in a wide range of professional and post-graduate programs.
We are currently accepting applications to fill the role of Office Manager to provide clerical support of the department and its mission! Responsibilities and Duties:
Research and report information which requires evaluation and sources to Chair, Associate Dean, and Dean.
Attends meetings, participating as requested.
Signs, approves, corrects, and reviews for Chair:
faculty load, schedules, 10 audit reports, payroll, major/minor declarations graduation and honor scholar sheets, parking passes, student class sheets, etc.
Help faculty with Activity reports, sign for Chair if needed, work with Institutional Research and Projects on corrections when needed.
Maintains incomplete grade files.
Oversees all the processes of faculty/staff candidate searches, maintains personnel files, maintains comprehensive files and records for a large complex department.
Looks for ways to improve the department.
In charge of shredding files according to University Record Retention Policies.
Responsible for office supply inventory, including a well-maintained storage room and departmental public-access areas.
Maintains faculty files, graduate student files, payroll, budget reports, final grades, enrollment reports, and other confidential and sensitive information.
Department has moved from paper copies to digital for most items.
This position scans and maintains the BIOL digital library.
Prepares all NTT contracts and TT summer contracts, change of assignments, and terminations.
Works with Institutional Research to correct activity reports as needed.
Sends information to update CAS personnel database.
Works with Assistant Chair to create, evaluate, and correct current and future class schedules by preparing course changes, adds, and drops.
Maintains manual and BANNER vacation and sick leave reports.
Performs the FCI and University Inventories.
Orders new computers during refresh times.
Maintains the Biology planning and salaries budgets.
Approves and maintains the payroll for faculty, Civil Service, professional staff, research assistants, and teaching assistants.
Enters and approves student payroll.
Three times a year orders textbooks and supplemental resources from Textbook services and the Bookstore for undergraduate and graduate students.
Order desk copies for faculty.
Updates as necessary information sheets on the needs and wants of the department and faculty.
Plans, organizes, assigns, and reviews student worker schedules.
Hires, trains, evaluates, disciplines, and terminates student workers.
Addresses situations that arise in the office.
Deals with delicate issues.
Monitors and maintains the department copier and supplies, including the wide-bed printer.
Responsible for ongoing contracting with required service vendors and supply orders for the machines.
Acts as backup for preparation of RA/GA/TA EPAF forms, times sheets, and filling of acceptance documentation.
Maintains paperwork as needed.
Acts as FO delegate for faculty with grant accounts, creating APID for purchases, managing vendor contracts, creating extra help positions, and managing student worker time-sheets and payroll Benefits Package:

Minimum Acceptable
Qualifications:
High school diploma or equivalent.
Two (2) years (24 months) of work experience comparable to the third level of this series.
Preferred
Qualifications:
Good working knowledge of BANNER, AIS and Microsoft Office Suite, especially Excel.
Ability to organize and prioritize the workload independent of supervision.
Ability to coordinate multiple tasks with multiple deadlines.
Exceptional supervisory and management skills.
Thorough awareness of departmental operations and procedures, university operations and procedures.
Excellent communication, organizational and analytical skills.
Ability to communicate effectively with diverse groups of people.
Ability to work as a team with other clerical staff but also be a self-starter and work independently.
